2. Information we collect

Information you provide to us

We may collect personal information that you provide when you contact us, request information, enquire about our products or services, place an order, become a customer, provide feedback or otherwise communicate with us.

This may include:

  • Your name.
  • Your business email address.
  • Your telephone number.
  • Your organisation and job role.
  • Information you include in correspondence with us.

Information collected when you use our website

When you visit the public Lookout Call website, the hosting environment may record limited technical information as part of standard server operation. This can include your IP address, request time, requested pages or files, browser or device information, the referring page and whether the request completed successfully.

We use this information only where necessary to operate, maintain and protect our website, investigate technical problems and help prevent misuse or security incidents. We do not use server log information for advertising, profiling or behavioural tracking.

We do not currently use website analytics services or advertising technologies to monitor visitors to the website, and the website code does not intentionally set analytics or marketing cookies.

3. How we use your information

We may use personal information to:

  • Respond to enquiries and requests.
  • Provide information about Lookout Call products and services.
  • Communicate with customers and prospective customers.
  • Process orders and manage customer accounts and relationships.
  • Provide customer support and manage existing customer relationships.
  • Send information about Lookout Call products and services where you have agreed to receive marketing communications.
  • Operate, maintain and improve our website and services.
  • Meet our legal and regulatory obligations.

4. Our lawful basis for processing

Data protection law requires us to have a lawful basis for using personal information. Depending on the circumstances, our processing may be necessary to perform a contract or take steps at your request before entering into a contract, to comply with a legal obligation, for our legitimate business interests, or because you have given consent.

Our legitimate interests include responding to enquiries, managing customer and business relationships, operating and protecting our systems and website, and maintaining the security and availability of our services.

Where we rely on consent, for example for certain marketing communications, you can withdraw that consent at any time.

Where standard server log information contains personal data, we process it on the basis of our legitimate interests in maintaining the security, availability and effective operation of our website.

5. Who we share information with

We do not sell personal information and we do not share personal information with other companies for their own marketing purposes.

We may share personal information with trusted service providers and suppliers where necessary to operate our business, provide our services or support our systems. Where relevant to processing an order, information may also be shared with credit reference or fraud prevention agencies.

We may also disclose information where required by law, to regulators or law enforcement bodies, or where necessary to establish, exercise or defend legal rights.

6. How long we keep your information

We keep personal information only for as long as it is reasonably necessary for the purpose for which it was collected, including satisfying legal, regulatory, accounting or reporting requirements.

Personal information is reviewed and, where it is no longer required, deleted or securely disposed of in line with our data protection procedures.

Server log information is retained only for as long as reasonably necessary for website operation, security and troubleshooting, in accordance with our hosting arrangements.

7. Cookies and website analytics

The public Lookout Call website does not currently include analytics services, advertising pixels or marketing cookies in its supplied code. A single local browser storage preference, lookoutcall_cookie_ok, remembers when the cookie notice has been dismissed. This preference is not used to track visitors.

The How it Works page contains an optional YouTube video. A thumbnail image is requested from YouTube's image server when the page is viewed, so YouTube may receive limited technical information before playback. Until you select Play the video, no YouTube video player is loaded. When you choose to play it, your browser connects to YouTube, which may receive your IP address and device or browser information and use cookies or similar technologies. YouTube's handling of that information is subject to its own privacy policies.

Hosting providers may keep standard server logs. The separate customer login service may use different technologies and is not covered by the statements about this public website.

For more information see our Cookies notice.

8. Your data protection rights

Depending on the circumstances, data protection law gives you rights relating to your personal information.

These may include rights to request access to the information we hold about you, ask us to correct inaccurate information, request deletion or restriction of your information, and object to certain processing. Where processing is based on consent, you may also withdraw that consent.

To exercise your rights, contact Privacy@c3.co.uk. We may need to verify your identity before providing personal information or acting on a request. We aim to respond to subject access requests within 30 days.

9. How we protect your information

We use appropriate organisational and technical measures designed to protect personal information against unauthorised access, alteration, disclosure or loss.

These measures include restricting access to people who need personal information for their work, using approved systems and secure storage, applying access controls and password protection, maintaining backups, and using appropriate security software and firewall protection.

Staff are expected to handle personal information in accordance with C3's data protection procedures and to avoid unnecessary copying or disclosure of personal data.

10. Changes to this Privacy Notice

We may update this Privacy Notice from time to time to reflect changes to our services, business practices or legal requirements.

The date at the top of this page shows when this notice was most recently updated.
